Purpose of the role:
As a Junior Event Coordinator, you play a pivotal role in the team, bringing your exceptional organizational skills and keen attention to detail to the forefront. You'll support the planning and execution of events, including (but not limited to) budgeting, scheduling, onsite management, cost analysis, and gathering feedback. The role offers flexible working hours between the office and onsite to accommodate events at the club.
How you will contribute:
- Organize smaller-scale events, supporting the Event Manager with pre-event planning, execution, and post-event feedback.
- Assist in coordinating large-scale events with the Event Manager and external partners.
- Attend and manage weekend events, overseeing sound checks, set-up, and post-event dismantling.
- Ensure smooth event operations by managing artists, following schedules, and solving issues on-site.
- Communicate with talents, DJs, masseuses, and promo staff regarding NDAs, marketing materials, and agreements.
- Maintain and update the talent database.
- Collaborate with the Social Media Manager, Copywriter, and Design team for event promotion and visuals.
- Support the Event Manager and Event Coordinator with daily tasks.
What we are looking for:
- Previous experience in event organization (at least 1–2 years) is required.
- Interest and knowledge of the music industry, talents (bands and dancers), and global entertainment trends.
- Excellent coordination and time management skills.
- Strong multitasking skills, managing overlapping projects.
- Ability to work well under pressure.
- Excellent communication skills in Estonian and English are required.
- Systematic, punctual, and detail-oriented.
- Minimum age requirement: 21 years
- Flexibility in working hours (including evenings and weekends). Approximately 40% of your time will be spent on-site at venues.
The team by your side:
You’ll be part of the Bombay Marketing team, working closely with the Event Manager and another Event Coordinator to bring our venues to life with exceptional events. For larger-scale productions, you’ll collaborate with external agencies, as well as key in-house departments and stakeholders, ensuring every event is a success.
