Purpose of the role:
We are looking for a Purchasing Manager to plan, direct, and coordinate all company-wide and Bombay Resort purchasing activities, ensuring timely procurement of quality goods and services at competitive prices while maintaining proper inventory levels, vendor relationships, and compliance with resort policies and standards.
How you will contribute:
Manage the procurement of all goods and services required for operations, including food & beverage, housekeeping, maintenance, spa, and administrative supplies.
Source, evaluate, negotiate, and manage contracts with suppliers and vendors, ensuring quality, cost, and delivery requirements are met.
Monitor inventory levels and coordinate with department heads to prevent shortages or overstocking.
Implement cost-control measures and identify opportunities for savings without compromising quality.
Coordinate with the finance team for budgeting, forecasting, and payment processing.
Ensure compliance with resort policies, budget guidelines, and applicable regulations.
Conduct regular supplier performance reviews and resolve any supply-related issues.
Ensure ethical sourcing practices and, where applicable, support sustainability initiatives.
Maintain accurate purchasing records (purchase orders, invoices, supplier documentation) and audit-ready documentation for tenders, contracts, and supplier decisions.
What we are looking for:
Proven experience managing procurement in a large, multi-outlet hospitality environment, with a strong focus on Food & Beverage.
Strong tendering, negotiation, and contract management capability.
Solid understanding of 24/7 operations, relevant regulations, and supply-chain risk management.
Strong supplier relationship and performance management skills (KPIs, issue resolution, continuous improvement).
Commercial, detail-oriented, and governance-driven mindset with a track record of cost control and savings delivery.
Confident user of procurement/ERP systems and Excel, with strong reporting and analytical skills.
Good conversational Estonian and English (spoken and written).
You’ll work standard office hours Monday to Friday, with readiness and flexibility to support urgent operational needs when required.
